The story behind this build
This project is a full-scale custom SaaS back-office and operations management platform developed for a luxury vintage resale business. The system was designed to bring all core business workflows into one centralized admin environment, helping teams manage products, suppliers, customers, marketplaces, orders, logistics, reporting, and AI-powered automation without depending on scattered tools or manual spreadsheets.
At the core of the platform is a complete inventory and incoming goods workflow. The system allows the team to process supplier invoices, import product data, manage incoming goods, enrich product details, assign brands, categories, folders, models, variants, materials, colors, prices, margins, and product descriptions. Each item can be tracked through multiple operational stages such as ready to create, ready for enrichment, ready to publish, published at Centra, failed at Centra, all goods, skipped stock, and stock recovery. This gives the business clear visibility into where every product stands before it becomes available for sale.
The platform also supports product publishing and marketplace operations. Products can be prepared and published to Centra, synced with marketplace channels, managed across VC, LePrix, CJ, ESG, and related order workflows, and tracked through history logs. This helps the business maintain consistent product data across multiple sales channels while reducing repetitive manual publishing work.
A dedicated Sell Vintage module is included for customer acquisition and resale offer management. Customers can submit items for direct sale or consignment, while the internal team can review offers, check authenticity, manage accepted offers, handle consignments, issue vouchers, send shipping labels, process payments, reject or return items, and move approved products into inventory. This creates a structured workflow from customer submission to resale readiness.
The system also includes operational modules for Centra orders, VC orders, Rebelle orders, returns, Ingrid shipments, shipment logs, influencer products, store products, add-on products, sent-back-to-supplier products, user management, role-based access, profile management, history logs, system settings, description field settings, commission adjustments, and backups. These modules make the platform function as a complete internal ERP-style solution for the resale business.
For management and decision-making, the platform provides KPI dashboards and reporting tools. Teams can analyze stock reports, monthly stock exports, sales performance, revenue, VAT, COGS, margins, average order value, inventory turnover, return rates, best-selling products, best-selling brands, folders, categories, models, variants, markets, countries, and users. Export tools are available for deeper business analysis and operational review.
AI is also integrated into the platform to improve speed and accuracy. The system supports OpenAI-powered invoice prefill, product name improvement, product data enrichment, taxonomy recovery, watch-related data recovery, and meta description generation. It also includes an OpenAI analytics dashboard where authorized users can monitor total spend, remaining credits, monthly usage, daily trends, highest cost days, project history, and project-level cost distribution.
Overall, this platform helps a luxury resale business scale its operations by centralizing inventory management, product enrichment, marketplace publishing, customer resale offers, logistics, reporting, and AI analytics in one secure admin system. It reduces manual work, improves team productivity, increases data accuracy, speeds up product processing, and gives management a clear view of business performance across the entire resale operation.
Where we started
The luxury resale business was handling many complex operations across different workflows, including supplier invoices, incoming goods, product enrichment, pricing, stock tracking, customer resale offers, marketplace publishing, orders, shipments, returns, and performance reporting. These processes required accurate product data, fast publishing, clear stock visibility, and coordination between multiple teams and marketplaces. Without a centralized system, the workflow could become slow, repetitive, and difficult to track at scale.
How we shipped it
We developed a custom SaaS admin platform that brings the entire resale operation into one secure back-office system. The platform includes modules for invoice processing, inventory lifecycle management, product enrichment, Centra publishing, marketplace management, Sell Vintage customer offers, consignments, orders, returns, Ingrid shipments, KPI reports, OpenAI analytics, user roles, logs, settings, and backups. AI-assisted tools were also added to support invoice prefill, product naming, enrichment, and cost tracking.
